For HVAC contractors

The first cold night, every furnace in town calls at once.

DIDM keeps no-heat calls, replacement quotes and maintenance customers in one place, flags who's waiting on you, and drafts the follow-up for you to send between service calls. A voice agent that calls new leads back within a minute is in development.

Called back a no-heat lead and booked a diagnostic

Where heating season leaks money

The no-heat call at 9 pm

Every tech is in a basement and the office went home. A cold family doesn't leave a voicemail; they call the next company that answers.

The replacement quote that stalls

A 20-year-old furnace, a good-better-best quote at the kitchen table, then silence. Big tickets need a second conversation, and busy weeks skip it.

Tune-ups nobody booked

Maintenance customers meant to come in before the cold. The list lives in old software, and the reminder never went out.

Why we built this

When the house is cold, the first company to answer wins.

Good HVAC shops don't lose work because they're bad at HVAC. They lose it because the phones, the quotes and the maintenance list all peak on the same day the trucks do. DIDM keeps the office side in one place through the rush: who called, who's waiting, which quotes are worth a second visit, and a drafted reply you can edit and send from the van.

How it works

Set it up before the rush. Then run your day from one list.

  1. 01

    Bring it in

Import your customer list and open replacement quotes, and link Google Ads read-only. On a managed plan, our team sets up call and form tracking so every booked call is traced to its source.

  2. 02

    Check the Today screen

Customers waiting on a reply and quotes that haven't moved in 14 days are listed first thing, so a no-heat text from Saturday doesn't wait until Wednesday.

  3. 03

    Answer from the van

Ask DIDM drafts the follow-up for a stalled quote or an unanswered text. You read it, change what you want and send it yourself.

What it covers

What DIDM covers for an HVAC shop

The calls, quotes and customer list that usually live on three phones, a whiteboard and old dispatch software.

Callers waiting on a reply

Texts and emails with no answer for over an hour go to the top of the Today screen, so a family without heat hears back from you, not a competitor.

Replacement quotes gone quiet

System and equipment quotes that haven't moved in 14 days are flagged, and Ask DIDM drafts a follow-up for you to edit and send.

Search terms that never book

On a managed plan, our team reviews your Google Ads search terms and cuts the DIY, parts and job-seeker searches that eat an install budget.

Which ads booked installs

On a managed plan, our team tracks calls and forms and reports which ad, search or referral started each install, not just each click.

In development: a voice agent that calls new leads and missed calls back within about a minute and books the diagnostic; maintenance-plan reminders; weather-driven demand by ZIP code, so spend can rise before a cold snap or heat wave; and sync with HVAC dispatch software.

What we build

Not a call center. The office side of an HVAC shop, built and run.

More calls don't help if the ones you already get slip through. The system that catches them is yours to keep.

Daily checks (in development)

Automated checks on calls, quotes and ad spend are being built, starting with Google Ads. Today, our team runs those reviews for managed clients.

A customer list you own

Every caller, quote, install and maintenance customer in one database that stays with you if you change vendors. Bring your existing list in on day one.

Call tracking that counts installs

For managed clients, our team sets up server-side and call tracking that catches the calls browser blockers miss, so the numbers line up with what was installed.

The season on one screen (in development)

A command center with calls, open quotes, spend and booked installs side by side is in development. Today, our team's monthly report ties spend to booked jobs.

Your pipeline

From no-heat call to maintenance plan.

A starting pipeline for residential service and replacement. Rename or reorder the stages to match how your shop sells.

  1. New call
  2. Booked
  3. Diagnostic
  4. Repair or quote
  5. Quote sent
  6. Financing
  7. Install scheduled
  8. Installed
  9. Maintenance plan

Tracked on every job

  • System type (furnace, heat pump, boiler, central AC, ductless)
  • Equipment age
  • Fuel (gas, electric, oil, propane)
  • Maintenance plan status
If nothing changes

Every no-heat call that rings out is a replacement job, and probably a maintenance customer, for the shop that answered.

With DIDM

When the cold snap hits, you see who's waiting and which quotes need a nudge before the coffee's done, and on a managed plan our report shows which ads booked real installs.

Month-to-month, a person sends every message, and your data stays yours. See pricing → How we handle your data →

Questions

What owners ask first.

>No. DIDM doesn't send messages on its own. Ask DIDM drafts a reply, and you or your dispatcher copy it into the inbox, edit it and send it. Every change to your records is shown to you first and can be undone.
